The protection of your personal data is important for CIONET and we comply with applicable laws and regulations, including the GDPR. In this Overview of data collected for the Fittest IT Team Program we explain what personal data we may collect, how we use it, with whom we share it and to whom we transfer your personal data when you participate in the CIONET Fittest IT Team Program.

Registration

First name, last name, email address

We use this information to create an account for you. The identification data (first name, last name and email address) is encrypted and linked to a pseudonym. All information we collect is linked to this pseudonym. 2 years after the end of your agreement with CIONET or if you don't sign in for 2 years, we will delete the identification data. The longest period shall be taken into account. From then on, your data will be completely anonymous and we will not be able to trace it back to you. We only use this data for research purposes. You may register via a link specific to a Program Partner, League or Participating Organisation. You will then be linked to this Organisation or team when registering.

Set password

Password

After your account is activated, you have the option to set your first password. This password is hashed. Once you completed this step, your account can be used.

Email address

With the specified email address, we search for an existing account. If an account is found, we will send an email to the email address with the information to set a new password.

Sign in

User ID (email address), password

Your username is automatically set to your email address. An account is searched based on the username. If one is found, we'll check the password. If it matches, you will be granted access.

Miscellaneous personal data

We have several questionnaires, each of which has its own purpose.

Link Fitbit

When you want to pair your Fitbit, we'll ask Fitbit to access your data. You'll need to sign in to your Fitbit account, after which you'll be given the choice of what data you share with us. Fitbit will provide us with your id and authentication tokens to read out your data. Your profile data is only used to verify that the right user is linked. Your heart rate data is used to check if you're training in a particular training zone and for how long. Your activity data is used to retrieve your steps, goals, calories burned, and active minutes. If we don't have heart rate data, we'll use your very active minutes to follow up on your training schedule. In addition, the data is also used on your dashboard and as a follow-up of certain challenges in which you participate. Your sleep data is used to give you insight into your sleep.

Link Apple Health

When you want to link your Apple Health account, you can give our app access to the Health app on your phone. This access is used to retrieve your steps. In addition, the data is also used on your dashboard and as a follow-up of certain challenges in which you participate.

Link Polar Flow

When you want to link your Polar, we ask Polar Flow to access your data. You need to sign into Polar Flow after which we will receive your Polar Flow id and authentication tokens to read out your data. Your profile data is only used to verify that the right user is linked. Your training data is used to check whether you're training in a particular training zone based on heart rate and for how long. Your activity data is used to pick up your steps, calories, and active time. If we don't have heart rate data, we'll use the active time to follow your training schedule. In addition, the data is also used on your dashboard and as a follow-up of certain challenges in which you participate.

Fitness test

Date of birth, gender, test type, starting heart rate, height, weight, fat percentage, maximum heart rate during the test, duration of the test, recovery heart rate, doctor's permission (optional)

We process the last completed questionnaire "Informed consent" and "Psychological" to check if there are medical problems and doctor's consent is required. The test type is necessary to determine the test protocol. Your starting heart rate, weight and fat percentage are used to show your progress. We also use your height and weight in the processing of your test data (BMI and VO2Max/kg). Based on your gender, age and weight we calculate the estimated time or expected maximum resistance, your BMI, your expected fat% range, your general fitness level and your specific physical fitness level. We will transpose this data onto scales, allowing you to gain insight into your current state. In the case of a second test it will also allow us to visualize your progress. A first training schedule is drawn up.

Here you can see the personal information we know about you and update it if you wish.

Couplings

We process all your couplings and show them to you. These can be companies, teams, Fitbit, Polar, Garmin, Apple or Google. In the case of Fitbit or Polar, we will show you your ID, the data types we can access and, if applicable, the expiration date of the authentication token. We'll send a request to Fitbit or Polar to show the first name and last name that comes with this ID.

Manual input

Date of training, sport, heart rate zone, number of minutes, note (optional)

Some sports (e.g. swimming) are difficult to track with activity trackers. Or maybe you don't have a tracker. You can enter your training sessions via manual input, after which your goals will be updated.

Sports and training days

Based on your test, we'll suggest a schedule. You can customize this schedule yourself. Based on the chosen sport, we determine how many minutes you need to train per week and what the ideal distribution is. You can also adjust this distribution yourself and choose your own days.

We process your Polar Flow data to give you a graphic overview of the most relevant data we have collected through the link.

Apple Health history

We process your Apple Health data to give you a graphic overview of the most relevant data we have collected through the link.

Google Fit history

We process your Google Fit data to give you a graphic overview of the most relevant data we have collected through the link.

Fitbit history

We process your Fitbit data to give you a graphic overview of the most relevant data we have collected through your Fitbit.

We process the data of the participating persons and show the ranking of the challenge.

Figures – company

The data of everyone in your company is processed to calculate the average and show the number of steps of the company, the kilometers traveled, the calories burned and the very active minutes. These averages are of course anonymous. The same averages are also calculated for the teams and the teams are ranked.

Numbers – team

The data of everyone on your team is processed to calculate the average and show the number of steps of the team, the kilometers traveled, the calories burned and the very active minutes. These averages are of course anonymous. However, if desired, these averages are also shown for each member of your team.

Figures - the fittest IT Team

The data of all participating companies is processed to show a ranking of the companies for the average number of steps, the average kilometers travelled, the average calories burned and the average active minutes.

If your company participates in an audit, you can review the results of this audit. You can see the business average and where possible the standard and your own completed values.

Participation measurement moment

We process your test choice and pass it on to the coaches who will guide you during the measurement moment.
